Once you have created a mailbox in cPanel, you can read it in any mail application on any device. The settings are the same everywhere; only the menus differ. This guide gives you the correct settings first, then the exact steps for Outlook, iPhone and iPad, Android, Apple Mail and Thunderbird.

Your settings

cPanel generates the exact values for your account. In Email → Email Accounts, click Connect Devices beside the mailbox to see them. They follow this pattern:

Three mistakes cause almost every failed setup:
  1. Entering only the part before the @ as the username. It must be the full address.
  2. Leaving "My outgoing server requires authentication" unticked. Without it you can receive but never send.
  3. Using yourdomain.com as the server instead of mail.yourdomain.com.

IMAP or POP3?

Use IMAP. It keeps mail on the server and synchronises every device, so a message read on your phone shows as read on your laptop. POP3 downloads mail to one device and, by default, deletes it from the server - which means the other devices never see it, and your only copy sits on a machine that could be lost.

Only use POP3 (port 995, SSL/TLS) if you have a specific reason, such as keeping server storage near zero.

Microsoft Outlook (Windows)

  1. Open File → Add Account.
  2. Type the full email address, click Advanced options, tick Let me set up my account manually, then Connect.
  3. Choose IMAP.
  4. Enter incoming server mail.yourdomain.com, port 993, encryption SSL/TLS.
  5. Enter outgoing server mail.yourdomain.com, port 465, encryption SSL/TLS.
  6. Click Next, enter the mailbox password, and finish.
  7. Afterwards, open File → Account Settings → Account Settings → Change → More Settings → Outgoing Server and confirm My outgoing server (SMTP) requires authentication is ticked with Use same settings as my incoming mail server.

iPhone and iPad

  1. Open Settings → Apps → Mail → Mail Accounts → Add Account (on older iOS: Settings → Mail → Accounts → Add Account).
  2. Tap Other, then Add Mail Account.
  3. Enter your name, the full email address, the password and a description. Tap Next.
  4. Select the IMAP tab.
  5. Under Incoming Mail Server: host mail.yourdomain.com, username the full address, and the password.
  6. Under Outgoing Mail Server: the same host, the same full address as username, and the same password. iOS labels these fields optional - fill them in anyway, or sending will fail.
  7. Tap Next, wait for verification, then Save.

Android (Gmail app)

  1. Open Gmail, tap your profile picture, then Add another account.
  2. Choose Other.
  3. Enter the full email address and tap Manual setup.
  4. Choose Personal (IMAP).
  5. Enter the password, then set the incoming server to mail.yourdomain.com, port 993, security SSL/TLS.
  6. Set the outgoing server to mail.yourdomain.com, port 465, security SSL/TLS, and leave Require sign-in enabled.
  7. Finish the wizard.

Apple Mail (macOS)

  1. Mail → Add Account → Other Mail Account.
  2. Enter your name, the email address and the password, then Sign In.
  3. When automatic setup fails - which is expected - enter account type IMAP, incoming server mail.yourdomain.com and outgoing server mail.yourdomain.com.
  4. Click Sign In again.
  5. Open Mail → Settings → Accounts → Server Settings and untick Automatically manage connection settings for both servers, then set ports 993 and 465 with TLS/SSL.

Mozilla Thunderbird

  1. Account Settings → Account Actions → Add Mail Account.
  2. Enter your name, email address and password, then click Configure manually.
  3. Incoming: IMAP, mail.yourdomain.com, port 993, SSL/TLS, normal password.
  4. Outgoing: mail.yourdomain.com, port 465, SSL/TLS, normal password.
  5. Username on both: the full email address. Click Re-test, then Done.

Troubleshooting

Symptom Cause and fix
Can receive but not send SMTP authentication is off, or your ISP blocks the port. Enable authentication and use port 465 with SSL. Many ISPs block port 25 outright.
Password rejected repeatedly The username must be the full email address. Verify by logging in to webmail at yourdomain.com/webmail with the same credentials - if that fails too, reset the password in cPanel.
Certificate warning for mail.yourdomain.com Your SSL does not yet cover the mail subdomain. Use the server hostname from Connect Devices as the server name instead, which always presents a valid certificate. Never choose "accept without encryption".
Cannot connect at all Test on mobile data. If it works there, your network firewall is blocking the mail ports. Also check that mail.yourdomain.com actually resolves.
Mail disappears from other devices One device is configured as POP3 and deleting from the server. Change it to IMAP.
Sent items are missing on other devices The client is saving Sent locally. In account settings, set Sent, Drafts and Trash to the corresponding server folders.
Worked yesterday, fails today Repeated failed logins from a saved old password can trip rate limiting. Correct the password everywhere, then retry after a short wait.

Where do I find the exact server names for my account?

cPanel → Email AccountsConnect Devices. That page is generated for your specific mailbox and server, so it is always authoritative.

Can I use the same mailbox on my phone and laptop?

Yes, on as many devices as you like, provided every one is set up as IMAP.

Should I use port 587 instead of 465?

Both are supported. Use 465 with SSL/TLS, or 587 with STARTTLS. Do not use 587 without encryption.

Can I add my Fast Hive mailbox to Gmail on the web?

Yes. In Gmail, go to Settings → Accounts and Import and add it under "Check mail from other accounts", then add it as a Send mail as address using the SMTP settings above.

Is my mail encrypted?

The connection between your device and our servers is encrypted with SSL/TLS when you use the ports above. Always use them rather than the unencrypted alternatives.
