Beyond paying invoices one at a time, the Fast Hive client area offers three tools that make billing easier when you have several services: Add Funds for prepaid credit, Mass Payment for settling multiple invoices together, and Quotes for work priced in advance. This guide covers all three, including the limits and the one rule about deposits worth knowing before you use them.

Account credit and Add Funds

Adding funds puts a credit balance on your account. Future invoices are then settled from that balance automatically, so a dozen small renewals across the year become one payment.

How to add funds

  1. Go to Add Funds. Your current credit balance is shown at the top.
  2. Choose a payment method - PayPal or credit card.
  3. Enter or select an amount.
  4. Click Add Funds and complete the payment.

The page offers quick-select amounts, some of which sit below the minimum - if a deposit is rejected, check it is at least the minimum shown.

All deposits are non-refundable. This is stated on the Add Funds page and it means what it says: credit added to your account can be spent on Fast Hive services, but it cannot be paid back out to your card. Deposit what you expect to spend over the coming year - not a large float "just in case".

When credit is a good idea

  • You have several services renewing at different times and would rather make one payment.
  • Your card is about to be replaced and you want renewals covered in the meantime.
  • You are working to a budget cycle and want the spend recorded now.
  • Your payment method occasionally fails and you want a buffer so nothing is suspended.

Credit is not a good idea if you may want the money back, or if you are unsure whether you will keep the services.

Mass Payment

Mass Payment, in the Billing menu, lets you pay several outstanding invoices in one transaction rather than opening each in turn. Useful if you manage a number of services, or if several renewals have landed together.

  1. Open Billing → Mass Payment.
  2. Select the invoices you want to settle.
  3. Choose a payment method and pay the combined total.

Each invoice is then marked paid individually, so your records stay clean.

Quotes

A quote is a priced proposal issued before any invoice exists - used for custom work, bespoke configurations or anything not sold from the standard storefront.

  1. Go to My Quotes.
  2. Open the quote to review the line items, totals and validity date.
  3. If it is right, accept it. An invoice is generated from it.
  4. Pay the invoice as normal.
  5. If something is wrong, reply on the associated ticket rather than accepting - a quote can be revised before acceptance, not after.

Quotes carry an expiry date. Once past it, ask Sales & Solutions for a fresh one rather than assuming the pricing still stands.

Reading your invoices

Every invoice is listed under My Invoices with its status and total, and can be downloaded as a PDF for your records.

Worth knowing:

  • Invoices are generated ahead of the due date, so receiving one is not a sign you are late.
  • Applied credit appears as a line on the invoice, reducing the amount due.
  • Tax is calculated from the billing address on your account.
  • To have a VAT or tax number printed, add it under Account Details before the invoice is generated, then ask us to reissue anything already produced.

Troubleshooting

Symptom Cause and fix
Deposit rejected as too small Below the $20 minimum. Some quick-select buttons are lower than the minimum - enter an amount at or above it.
Deposit rejected as too large It would exceed the $5,000 maximum balance. Deposit less, or spend the existing balance first.
Credit not applied to an invoice Credit is applied when the invoice is generated or paid. If a balance is sitting unused against an unpaid invoice, open a ticket with Accounts & Billing.
You want a deposit refunded Deposits are non-refundable by policy. Contact Accounts & Billing if it was made in genuine error, and do so promptly.
Quote expired before you accepted it Ask Sales & Solutions to reissue. Pricing may have changed.
Accepted a quote by mistake Do not pay the invoice. Open a ticket immediately - an unpaid invoice can be cancelled.
Invoice missing your VAT number It was not on the account when the invoice was generated. Add it, then ask for a reissue.
Paid via Mass Payment but one invoice still shows unpaid Allow time for the gateway to confirm. If it persists, open a ticket with the transaction reference - do not pay it again.

Frequently asked questions

Does account credit expire?

It stays on the account and is applied to future invoices. Since it cannot be refunded, only deposit what you expect to use.

Can I pay one invoice partly with credit and partly by card?

Available credit is applied first and the remainder is charged. You do not need to do anything special.

What currencies can I use?

The client area has a currency selector. Changing the currency on an account with existing invoices is not always possible - ask Accounts & Billing first.

Can someone else pay my invoices?

Yes. Add them as a contact with billing permissions under Manage Contacts, or send them the invoice PDF.

How long are invoices kept?

Your full invoice history remains available in the client area. Download PDFs for your own accounting records as well.

Why did I get an invoice before the due date?

By design - invoices are raised in advance so there is time to pay before a service renews.
